Confidentiality and Data Protection Policy

- Definitions
- "We", "us", "our" refer to Rhos Family Church
- "Member" refers to any person who has officially become a member
of Rhos Family Church
- "Friend" refers to anyone who participates in any of the
activities or meetings of Rhos Family Church, but who is not currently a
member.
Guiding Principles
We want to be able to provide personal and spiritual help and support to
our members, friends and the local community, in such a way that ensures the
adequate level of confidentiality.
We want to be able to communicate easily and effectively with our
members and friends, to keep them informed about the activities of the
church, and to give opportunity for participation and comment.
We want to be able to use contemporary methods of communication as
part of our mission to offer the love of God in the wider community, and to
extend a welcome to everyone.
Confidentiality
In providing personal and spiritual help, those in leadership
roles may sometimes deal with personal issues of a confidential nature.
These leaders will take great care to keep such matters confidential, and
will not disclose such personal information without the individual’s
consent, unless legally obliged to do so or to protect the church’s vital
interests.
Some matters may fall outside the competence of the leader or
group of leaders who have become aware of the details. In such cases the
leader(s) may decide it is appropriate to refer the matter for expert help.
Permission would normally be sought from the individual concerned before
doing so. However, in extreme situations where the leader(s) reasonably
consider that there would be a serious risk of harm, or that inaction would
be against the law, they may refer to a relevant outside body without the
individual’s permission.
Data Protection
We ask members and friends to provide basic contact details (e.g.
name, address, telephone and e-mail) so that we can communicate information
about church activities and membership actions (such as general meeting
agendas and ballots). We publish this data to the members and friends of
Rhos Family Church only. Each member and friend has the option to withhold
some or all of their contact details from publication.
We hold all data securely, whether in written or electronic form, and
seek to maintain its accuracy. Any member or friend has the right to request
the details of data we hold for them, via the Secretary, and we will make
this data available as soon as possible, and in any case within a maximum of
30 days.
We may make photographic or other visual recordings of some church
activities. These may be used in internal or external communications to help
publicise our activities and objectives. Each member and friend has the
option to withhold permission for their image to be used in all or external
communications. We will also not publish any image of a minor without the
consent of a parent or guardian.
